Photo, Video & Story Consent Terms & Conditions

This page explains how Cultivating Community (“CC”, “we”, “us”) looks after your photos, videos and stories (“content”). It goes with the Consent Form. By signing the Consent Form, you agree to what is written here.

No Payment

We do not pay you for your photos, videos or story. You will not receive money or any other payment, now or in the future.

How We Use Your Content

We only use your content for official CC purposes – for example, on our website, social media, reports, presentations, and printed materials. Team, volunteers and contractors cannot use your content for personal purposes. They can only use it for approved organisational purposes, unless prior written permission has been given.

You Could Ask Questions First

Before you signed the Consent Form, you have the chance to ask a CC team member any questions. 

The Form Was Explained to You

This form is written in plain language (English). If you need extra help, like an interpreter or a trusted support person, please let our team know by emailing the Monitoring & Evaluation Manager, consent@cultivatingcommunity.org.au. 

Storing, Deleting and Removing Your Content

We store your content safely, using password-protected systems. Only approved team members can access it. We follow the Australian Privacy Principles under the Privacy Act 1988 (Cth).  

In addition, we archive previously used photos, videos, and content after 24 months, and delete this data after 3 years, unless you ask us to remove it sooner. 

You can ask us in writing at any time to remove your photos, videos or story: 

  • Most requests: We will remove your content within 14 days. 
  • Safety concerns: we will remove your content as soon as possible, and no later than 2 business days. 

Please note: if your content has already been shared publicly – for example, in a printed brochure, or shared online by someone else – we will not be able to remove every copy.

Changing Your Mind

You can withdraw your consent at any time by putting it in writing to:

Your Rights

You can ask us what content we hold about you, ask us to fix mistakes, or ask us to remove it. Saying no, or changing your mind later, will not affect your place in any CC program or working status with us.

Governing Law

These Terms & Conditions follow the laws of Victoria, Australia. We adhere to the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth), which govern how we collect, use, disclose, store and manage personal information.
